JOB TITLE: Administrative Assistant
POSITION STATUS: Regular, Full Time
EXEMPT STATUS: Non-Exempt
PAY SCALE GRADE: 10-11-12
REPORTS TO: Executive Assistant
This position is responsible for assisting Administration staff, specifically the Human Resource Department, Accounting and the Executive Assistant. General office duties are expected.
BRIEF SUMMARY OF JOB RESPONSIBILITIES:
- Assist the Human Resources Specialist in maintaining the I-9 forms, and personnel and health files of Kawerak, Inc. ensuring all documents are kept confidential, and all required forms are returned to HR. Follow up with staff and supervisors to ensure documentation is submitted to Human Resources.
- Assist the Human Resources Specialist with the day-to-day operation of the Human Resources Department, ensuring that Kawerak, Inc. is in compliance with applicable Federal and State Employment laws.
- Enter and enroll eligible employees onto the insurance website. Ensure eligibility for benefits, to include health and pension plan. Ensure eligible employees complete appropriate enrollment forms. Terminate employees from Health and Life insurance system as needed.
- Research and respond to correspondence from staff, state and federal officials or private companies in order to verify employment history, and wages of past and present employees.
- Assist the Human Resources Specialist in maintaining the recruitment files, assist in application process, and notify applicants of outcome.
- Answer Kawerak phones, route calls to various departments, take messages and arrange for phone coverage during work hours. Greet visitors and direct them as needed. Develop and update signs.
- Assist in providing clerical support and assistance to all Administrative staff, including Administrative Assistants. Duties include: filing, faxing, typing, copying, creating labels, updating rolodex information, and other clerical duties.
- Assist with the preparation of board packets for board meetings.
- Assist Administration staff with special projects as needed.
- Other duties as assigned.
QUALIFICATIONS:
- AA degree in Business Administration or related field. Comparable work experience may substitute for the degree on a year for year basis.
- Computer, keyboarding and office skills required. Must possess computer knowledge and skills in Internet, Microsoft Word, Excel and Windows.
- Must possess strong verbal communication skills. Prioritization and organizational skills required.
- Familiarity with employment laws, and regulations preferred.
- Must possess the ability to maintain strict confidentiality.
- Must be dependable, self-motivated and able to work with minimum supervision.
- Valid Alaska Drivers License with a safe driving record required or ability to obtain one within six months of hire.
