NOTICE OF JOB VACANCY POSITION DESCRIPTION

DIVISION: Children & Family Services

JOB TITLE: Administrative Assistant

POSITION STATUS: Regular full-time

EXEMPT STATUS: Non-Exempt

PAY SCALE GRADE: 10, 11, 12

REPORTS TO: Vice President, Children & Family Services Division

 

BRIEF SUMMARY OF JOB RESPONSIBILITIES :

  1. Assist the Division Vice President with administration of services to residents of the region, ensuring goals and objectives of the division are achieved.
  2. Develop a system to monitor program effectiveness and recommend actions for improvement.
  3. Maintain and upkeep databases for division programs.
  4. Work with Program Directors/Specialists to compile information for reports to Kawerak board and funding sources.
  5. Assist the VP and Program Director/Specialists in the development of budgets. Monitor the expenditures of the programs. Produce budget projections as requested and revise budgets as needed.
  6. Keep an inventory of equipment as required by the policies and procedures.
  7. Assist the VP and Program Director/Specialists in developing staff training plans. Track training implementation goals to ensure training needs are being met.
  8. Assist with preparations for Kawerak Children & Family Services Committee meetings. Assist Program Directors in preparation of staff reports and compilation of committee packets. Serve as the official minute-keeper for the Children & Family Services committee meetings.
  9. Assist with researching grant opportunities and development of proposals.
  10. Assist with compiling data for program activity plans.
  11. Collect and review timesheets for completeness. Maintain accurate records of employee timesheets, personnel actions, leave, and performance evaluations. Assist the VP in filling position vacancies.
  12. Coordinate travel for program committees and staff, ensuring completeness of TA’s and trip reports, etc. Keep accurate records of committee and staff travel.
  13. Gather information and coordinate development of division articles for regional newsletter.
  14. Maintain and update information for title IVE claims and submit to appropriate officials as scheduled.
  15. Ensure staff complete and submit IV-E time studies in a timely manner.
  16. Draft routine correspondence and act as a communication point for the Vice President of Children & Family Services Division
  17. As requested, travel to and/or attend various meetings representing the Children & Family Services Division.
  18. Other duties as assigned by the VP of Children & Family Services Division

QUALIFICATIONS:

  1. Associates Degree in Business Administration or Accounting, or responsible work experience in comparable field may substitute for the degree requirement on a year for year basis.
  2. Must possess knowledge of budget development and the use of Microsoft Excel to develop budgets and spreadsheets.
  3. Must possess strong research, writing and verbal communication skills. Strong organizational skills required.
  4. Must be dependable, self-motivated and able to work with minimum supervision.
  5. Ability to work effectively with people from a variety of backgrounds.
  6. Strong computer, keyboarding and office skills required.
  7. Must pass criminal background check.
