DIVISION: Natural Resources
JOB TITLE: Subsistence Office Assistant
POSITION STATUS: Regular, Full Time
EXEMPT STATUS: Non-exempt
PAY SCALE GRADE: 10-11-12
REPORTS TO: Subsistence Resource Director
BRIEF SUMMARY OF JOB RESPONSIBILITIES:
- Perform administrative and clerical support to the Subsistence Resources
Program staff.
- Provide assistance to program staff with development and disbursement
of education/outreach materials.
- Assist with conducting fact-finding research; independently locate appropriate
sources of information and present findings in clear and concise reports.
- Maintain incoming and outgoing tribal government correspondence files
and other program files.
- Coordinate travel for program staff and constituents, ensuring completeness
of Travel Authorizations (Erequester) and submission of trip reports.
- Schedule and coordinate all travel for Bering Strait/Norton Sound Migratory
Bird Council (BSNSMBC) meetings, dispense per diem and honorarium fees
to Council Members. Record and transcribe minutes for BSNSMBC and other assigned
meetings. Develop Summary of Motions and Action Items after BSNSMBC meetings.
Ensure BSNSMBC resolutions are properly formatted, and maintain all resolutions
adopted by the BSNSMBC.
- Assist with inventory and ordering of program supplies and equipment as
needed.
- Assist with gathering information and coordinating development of program
articles for regional newsletter.
- Maintain accurate records of employee timesheets, personnel actions, leave,
and performance evaluations. Collect and review temporary employee timesheets
for completeness. Assist program staff in filling position vacancies
for program projects.
- Maintain schedule of employee evaluation due dates to ensure completion
of program staff evaluations by Program Director/Program staff.
- Disseminate monthly financial reports to Program Director/Program staff.
Develop and utilize Excel budget spread sheets to track accuracy. Assist
with the development of budgets & monitoring of program expenditures.
- Other duties as assigned by the Subsistence Resource Director.
QUALIFICATIONS:
- Associate Degree in Office Management, Business Administration, Accounting
or related field. Comparable work experience may be substituted for the
degree requirement on a year-to-year basis.
- Ability to multi-task, be detail oriented, and possess strong organizational
and records management skills.
- Ability to work and interact positively with tribal, state, and federal
agencies.
- Computer keyboarding and office skills required. Knowledge of Microsoft
Windows, Word, Excel and internet skills required. Knowledge of Adobe
InDesign preferred.
- Must be dependable, self-motivated and able to work with minimum supervision.
- Must be able to maintain strict confidentiality.
